Ruiz Büroreinigung Hamburg regularly takes over Hamburg offices from other cleaning providers. Most of the inquiries we receive don’t come from offices that have just moved in. They come from office managers who have spent months double-checking the cleaning and reporting problems — and still walk in on Mondays to desks nobody has cleaned.

There is no standard notice period that applies to every cleaning contract. What counts is what your contract says — the legal classification of the contract only comes into play if the contract is silent.

Important before you give notice: Getting out of a contract isn’t always free. If your contract is classified as a contract for work (Werkvertrag) — often the case with ongoing janitorial cleaning — you can terminate it at any time, but you then owe your current provider the agreed fee minus any expenses it saves (§ 648 BGB, the German Civil Code). An unusually long notice period in a standard-form contract isn’t automatically valid, either. We’re a cleaning company, not a law firm: this page offers general guidance, not legal advice, and we don’t review contracts. If in doubt, have a lawyer review your contract.

The correct termination date depends on three things that are easy to misjudge: the contract start date, the agreed notice period, and any automatic renewal. If you name only one date and that date is wrong, your current provider can reject the termination — in the worst case, the contract runs for another full renewal period.
The phrase is a second, fallback notice of termination: in addition to the date you name, you also terminate, as a precaution, on the next date your contract permits. That is also why the template asks for written confirmation of the end date: you need that date to schedule your start with us without a gap.

Keys and other access items belong to you. That’s why returns and reissues go through you, not directly between two cleaning companies: it’s the only way to prove, if it ever comes to that, who had what and when.

Return and reissue take place at one appointment. Two service providers with access at the same time means unclear responsibility.
If your current provider needs access until its last day on site, give us a set from your own spare stock in advance, against a signed record. That way, no day goes without cleaning, and it stays clear who has access.
How we handle it: At Ruiz Büroreinigung Hamburg, keys, transponders, and access cards go only to our own permanent employees with a police clearance certificate (Führungszeugnis) — no subcontractors. Every handover is recorded, and a signed original stays with you. We keep alarm codes separate from the key list and share them only with the team members who actually clean your site. Deactivating access items, changing codes, and any work on the locking system are up to you or your specialist contractor — we don’t touch any of that.

Your office cleaning comes at a fixed monthly rate, based on your floor area and the cleaning frequency you choose. Up to 150 m², the base rate starts at €361.96 net per month; above that, the amount rises linearly in increments of 25 m². No surcharge for cleaning products, no travel fee, no fine print.

The switch itself costs you nothing. We charge no setup fee, no onboarding or briefing fee, and no travel costs — the site visit is free and comes with no obligation. From the first cleaning day, you pay the agreed monthly rate and nothing else. If months of careless cleaning have left parts of your office run-down, we’ll tell you before the contract starts and quote a one-time deep cleaning separately. It’s your call whether to book it.
When you switch, what matters isn’t the lowest price but a fair comparison: floor area, frequency, and tasks must be identical. After that, the deciding factor is what you get for the same money — with us, our own permanent employees instead of subcontractors, documented key handovers, and a contract you can end any month. All prices are non-binding monthly flat rates, net, plus 19% VAT. There’s no one-size-fits-all notice period. What counts is what your contract says — in practice, we usually see four weeks to three months, effective at the end of a month or quarter. If your contract says nothing, it depends on how the contract is classified legally: under a contract for work, which is how ongoing cleaning contracts are often classified, you can terminate at any time, but you still owe the fee, minus any expenses the provider saves. Under a service contract (Dienstvertrag), the notice periods in § 621 BGB apply — with monthly payment, that means notice by the 15th to end the contract at the end of that month. This is a general overview, not legal advice.
Find the section on term and termination in your contract (usually headed “Laufzeit und Kündigung”), and always read the minimum term and the notice period together: with a 12-month term and 3 months’ notice, your deadline arrives after just 9 months. The law doesn’t prescribe a specific form for terminating a cleaning contract, but many contracts do. If yours requires written form (Schriftform), that means paper with a handwritten signature — an email counts only as text form. Receipt matters, too: the notice period runs from the day your termination reaches the recipient, and in a dispute, you have to prove it arrived.
The safe options are delivering it in person against a written acknowledgment of receipt, or having it delivered by a courier who knows what the letter says and notes the date, time, and place. According to case law, a proof-of-mailing receipt alone doesn’t reliably prove that the letter arrived. Keep a signed copy and the proof of delivery.
In business-to-business contracts, such clauses are permitted — the ban on automatic one-year renewals protects only consumers, not your company. For you, that means the deadline is everything. Put it in your calendar with about four weeks’ lead time, and add the phrase “or, alternatively, on the next possible date” (hilfsweise zum nächstmöglichen Zeitpunkt) to your termination letter.
Termination for good cause is the exception. It usually requires that you’ve already complained about the defects in writing, set a reasonable deadline for fixing them, and seen that deadline pass without result — and that you terminate promptly once you learn of the grounds. Whether that holds up in your situation is a question for a lawyer to assess case by case. If the termination without notice fails, the deadline for terminating with notice has often already passed.
It can. If your contract is classified as a contract for work, you can terminate at any time, but your current provider is still entitled to the fee, minus the expenses it saves as a result. So “you can terminate at any time” isn’t the same as “you can walk away for free.” Do the math before you end a minimum term early.
Yes, and in a way others can verify: photos, ideally taken on the cleaning day, the date and time, the area affected, which agreed task got skipped, when you notified the provider, and how they responded. This record helps you in your dealings with your current provider — and helps us make sure the same problems don’t come back at your office.
