Basics
A scope of work spells out what gets cleaned, how often, and to what standard. It’s the only document that lets you truly compare two quotes. When two monthly rates are far apart, only the scope of work tells you why: maybe the cheaper provider cleans the kitchenette only once a week, leaves baseboards off the list entirely, or charges extra for refilling the dispensers.
Office managers, procurement teams, and executives rely on a scope of work for three jobs: defining needs (what does our office actually require?), comparing quotes (same tasks, same frequency?), and checking the work (did we get what we agreed on?). Many providers only hand over their scope of work after the site visit. We publish ours in full right here — before we’ve even talked.
The scope of work below is our standard for Hamburg offices from 120 to 3,000 m². It covers routine janitorial cleaning in offices, hallways, kitchenettes, and restrooms. The complete scope of work
Every task listed here is included in the monthly flat rate — with no surcharge for cleaning products, equipment, or travel. “Touch areas” and “where accessible and clear” are the industry-standard limits: we don’t move your paperwork aside, and we don’t enter areas that are blocked. We tailor areas and frequencies to your site — on request during a free site visit by the owner or a member of our team.
The schedule explained
Not every task needs doing on every visit. Three schedules keep your office clean without making you pay for work nobody needs.
The core of the scope of work. These tasks are done on every scheduled visit — whether we come 1× or 5× a week.
Surfaces where dust builds up slowly. Once a month is enough to keep dust lines and cobwebs from forming in the first place.
Detail work on furniture frames and edges. Four times a year, on a fixed schedule — and that’s included in the monthly price, too.
Fixed rate or specialty cleaning
All 30 tasks in the scope of work, plus everything it takes to carry them out. One invoice, one amount, cancel monthly.
Cleaning products and consumables
Eco-certified concentrates from Dr. Schnell (EU Ecolabel), cloths, and trash bags. No surcharge, no flat fee for supplies.
Professional equipment and travel
Numatic vacuums and cleaning carts, plus transport and travel anywhere in Hamburg, are built into the price.
Cover for vacation and sick leave
If your cleaner is out, cover usually comes from the same team — at no extra charge and without a missed visit.
Insurance and administration
Business liability insurance up to €5 million, a dedicated site manager as your point of contact, and ZUGFeRD-compliant e-invoices (the German e-invoicing standard).
We bill services outside the regular schedule individually — each at its own fixed price, agreed before we start.
Exterior window and glass cleaning
Typically 2 to 4 visits a year, using chemical-free purified water (reverse osmosis). Details on our Window & glass cleaning page.
Deep cleaning
A one-time intensive clean — for example, before you move in, after renovations, or to restore floors — booked as a separate job at its own fixed price. For details, see Deep cleaning in Hamburg.
Deep carpet cleaning
Machine spray extraction for wall-to-wall carpet and carpet tiles. We can schedule it on weekends or outside core business hours.
Special areas by arrangement
We add archives, storage areas, server rooms, or outdoor areas to the scope of work only at your explicit request — and then as a separate line item with its own price.
Quality assurance
A scope of work is only as good as the work behind it. Four standards make the difference between paperwork and a clean office.
Every task in the scope of work follows a defined method from REFA’s technical committee for commercial cleaning (REFA-Fachausschuss Gebäudereinigung) — damp wiping, wet cleaning, scrubbing. That way, it’s clear exactly what “damp-clean” means.

How often we clean determines the price — not the length of the scope of work. All 30 tasks apply whether we come once or five times a week. These guidelines are based on our experience at the more than 50 Hamburg sites we look after.
1×/week
5 to 15 workstations, few visitors, your own kitchenette. One thorough visit a week keeps restrooms, kitchen, and workstations reliably in shape.

15 to 30 workstations, with clients or customers coming in. Two visits a week keep the restrooms and kitchenette reliably clean, even with visitors in the office every day.

60+ workstations, a reception area, visitor traffic, several floors. Daily cleaning outside core hours — early in the morning or in the evening after the office closes. We don’t offer a 4×/week schedule; you choose between 3× and 5× a week.

Pricing by scope of work
The price depends on two numbers: floor area and cleaning frequency. The length of the scope of work doesn’t change it — all 30 tasks are always included. Up to 150 m², the base rate starts at €361.96 net per month; above that, the amount rises linearly in 25 m² increments.
The accompanying table shows the rate tiers for 150, 300, 500, and 1,000 m² — each for 1×, 2×, 3×, and 5× a week, calculated directly from our pricing model. The figures are based on a calculated hourly rate of at least €33 net per hour, in line with the collective wage agreement.
If your floor area or cleaning frequency changes, we adjust the scope of work and the monthly rate at the start of the next month. There’s no minimum term: the contract can be canceled monthly. You’ll find all rate tiers on our Office cleaning prices in Hamburg page.

At Ruiz Büroreinigung Hamburg, routine office cleaning covers 30 tasks in four areas: 11 in the offices, 2 in the hallways, 9 in the kitchenette, and 8 in the restrooms. Of these, 24 are done at every visit — wastebaskets, floors, desk surfaces, touch areas on doors, the entire kitchenette including the dishwasher and microwave, and every restroom task, including refilling the dispensers. Another 2 are done monthly (radiators, cobwebs, and fire extinguishers, plus baseboards in the offices) and 4 quarterly (chair frames, table legs and floor lamps, plus radiators and baseboards in the kitchenette). Exterior glass cleaning, deep cleaning, and deep carpet cleaning are not part of routine office cleaning — you book these services separately.
A scope of work (Leistungsverzeichnis, or LV for short) lists every single cleaning task along with its frequency: what gets cleaned, how often, and with what limitations. It’s the basis for pricing, comparing quotes, and quality control, and at Ruiz, it becomes part of the cleaning contract. Without one, you’re comparing two monthly prices without knowing whether they cover the same work. In practice, that means the cheaper quote is only truly cheaper if both scopes of work list the same tasks at the same frequency.

It doesn’t include exterior glass cleaning, one-time deep cleaning, deep carpet cleaning, or special areas such as archives or outdoor spaces. We clean touch areas on doors and glass doors at every visit — that’s what the scope of work specifies. Full-surface cleaning of glass partitions and meeting pods, however, is a separate service — as is full-surface exterior window and glass cleaning, which you book separately. Two to four visits a year are typical, depending on location and how dirty the glass gets. We use chemical-free purified water (reverse osmosis).
